1. To print Avery mailing labels (size #5160), shipping labels (size #5163), and file folder labels (size #5366), click the Reports menu, then click Avery Labels.
This navigates to the Print Avery Labels screen, where a Student Search module displays in addition to More Search Options.
2. Enter all search criteria, then click Search.
For more detailed information about conducting a student search, see Searching for Students.
Clicking Search generates a list of students where you can choose to print Avery labels for selected contacts, students, parents per student.
3. Select how you would like the labels addressed:
To all Contacts having Custody prints all contacts that have custody via Students > Student Info > Address & Contacts tab. The label is addressed to all logged custodial contacts for each selected student. If the student's custodial contacts reside at different addresses, the label will print for all addresses.
To each Student prints labels addressed to the student.
To Contacts & Students prints labels for the students' custodial contacts logged via Students > Student Info > Address & Contacts tab and the student.
To the Parents or Guardians displays on the label as "To the Parents or Guardians of [Student Name]" on the labels and print for all custodial contacts logged via Students > Student Info > Address & Contacts tab. Note: Even if students are linked via Linked Students (e.g., siblings), each student receives their own label. If you prefer grouping students by household, consider using the Once Per Family option instead.
One Per Family prints for the student's custodial contact and/or contact with a Sort Order priority of 1. The Linked Students section in Students > Student Info > Address & Contacts tab is also used to determine which students are in the same family.
Custom Label allows you to customize the text displays on the label. See Creating Custom Labels for more information.
4. Select the Starting row and the Starting column from the pull-downs to indicate where on the sheet of labels Focus should begin printing labels. This feature makes it easier when reusing a single sheet of labels. For a brand new sheet of labels, the Starting row and column would be 1.
5. Before selecting students and generating the labels, you must first choose a Label Type from the provided pull-down. The available options are as follows:
Avery 5160 – Mailing Labels (3 columns × 10 rows): Standard mailing labels.
Avery 5161 – Address Labels (2 columns × 10 rows): Ideal for addresses or custom labels printed on Avery 5161 stock.
Avery 5163 – Shipping Labels (2 columns × 5 rows): Larger format, great for shipping or oversized labels.
Avery 5164 – File Folder Labels (2 columns × 3 rows): Wide labels commonly used for folders.
Avery 5366 – File Folder Labels (1 column × 7 rows): Narrower labels for folders or small identifiers.
Dymo 30252 – Standard Labels (1 column × 1 row): Designed for Dymo label printers.
6. Select the students for whom you need labels by selecting the check box next to each student. As students are selected, the number of selections made will display next to the number of students pulled originally.
If you want to print labels for all students displayed, select the check box in the header.
7. When all selections have been made, click Create Labels for Selected Students.
Upon creating labels, a print preview will display so you can review the information and the layout of the labels before printing. In the image shown, the Starting row was set to 3; therefore, the first two rows are blank.
a. Click the printer icon to print the labels. Click the down arrow to download the labels to your computer and save as a PDF.
b. When finished, click Return to Focus to return to the previous Print Avery Labels screen.
The following profile permissions allow you to perform specific actions when creating custom labels:
Publish Labels: When enabled, this permission allows the user to create custom labels and share (or publish) them with specific Profiles and Schools. Published labels become available to other users who have access to the assigned profile and school.
Edit Labels Created by Others: When enabled, this permission allows the user to manage labels created by other users. This includes the ability to edit label details (such as title, category, profile, and school assignments) as well as delete labels created by others. Without this permission, users can only edit or delete the labels they created themselves.
These permissions are enabled via Users > Profiles > Teacher > Students tab.
Clicking Search will generate a list of students where you can choose to print Avery labels for selected contacts, students, parents per student.
1. Select the Custom Label radio button. Custom Label allows you to customize the text displays on the label.
2. Select the Schedule Effective Date from the pull-down or calendar selector to determine which students are pulled based on their schedules for that date. By default, the field uses todays date. Enter another date to generate labels using student schedule information as of that specific day.
3. Select the Starting row and the Starting column from the pull-downs to indicate where on the sheet of labels Focus should begin printing labels. This feature makes it easier when reusing a single sheet of labels. For a brand new sheet of labels, the Starting row and column would be 1.

5. Click Edit to create your own custom label.
In the Custom Label pop-up window, you can view existing templates created by yourself or by other users. Each template displays its Title, Schools, Profiles, Shared, Category, and Created By information.
6a. Click New Template to create a custom label. From here, you can define the label format, assign it a title, and--if you have the Publish Labels permission--share it with specific profiles and schools. Once saved, the new template will appear in the Custom Label pop-up window.
a. Clicking New Template opens a word processing box equipped with a full formatting palette. Enter the label information including the applicable fields. Hovering your mouse over any tool in the formatting palette will display a short description of what that tool will do.
At least one field must be inserted via Insert Field in order to pull data and generate labels, such as Last, First M.
b. When the custom label has been created, click Use to return to the Print Avery Labels screen and apply the label to your selections, or click Save to store the label for future use in the Custom Label pop-up window.
6b. Enter the following details in the top row, then press the Enter/Return key to add a new template.
Title: Enter the template title in the text box.
Schools: Select one or more schools from the pull-down to assign the label to specific schools.
Profiles: Select one or more profiles from the pull-down to determine which profile users can access the label.
Shared: Select the check box to make the label available to other users with access to the selected profiles and schools.
Category: Select a category from the pull-down to organize the label. Categories help group labels by purpose--such as Attendance, Discipline, Online Application, or School Choice--and make them easier to find. If no category applies, leave the default Not Assigned option selected.
a. Click Edit to create the label template.
i. Clicking Edit opens a word processing box equipped with a full formatting palette. Enter the label information including the applicable fields. Hovering your mouse over any tool in the formatting palette will display a short description of what that tool will do.
At least one field must be inserted via Insert Field in order to pull data and generate labels, such as Last, First M.
b. Click Save.
7. From the Custom Label pop-up window, click Use to apply the template to your labels or click Edit to make changes to the label template.
Click any of the field to make edits, such as Schools. Changes save automatically.
Click the delete button (red minus sign) to delete custom label templates.
Once a custom label template is applied, the template data displays in the data box below Custom Label, as shown in the image below.
8. Select the students for whom you need labels by selecting the check box next to each student. As students are selected, the number of selections made will display next to the number of students pulled originally.
a. If you want to print labels for all students displayed, select the check box in the header.
9. Click Create Labels for Selected Students.
10. Click the Printer icon to print. Click the download arrow icon to download the files to your computer and save for later use.
11. When finished, click Return To Focus to return to the previous Print Avery Labels screen.
If Protected students are listed, and you have permission to View Protected Students, you will not see any changes. If you do not have permission to View Protected Students, but you have permission to Edit Student Addresses and Edit Student Contacts, you will not see any changes. If you do not have permission to View Protected Students, and you do not have permission to Edit Student Addresses or Edit Student Contacts, you will not be able to select the student in order to print their information.
Click the floppy disk icon to export the listed data (in this case, students) to an Excel spreadsheet.
Click any of the headers to sort data. Click once for ascending results; click twice for descending results.
To make the list full screen, click on the expansion icon (four arrows) next to the Search text box. Once in full screen mode, click the icon again to exit full screen.
