Grades Analytics

The Teacher Analytics screen provides a comprehensive view of teacher demographic and staffing data across the selected school(s) and applied filters. Users can analyze staffing trends and workforce distributions through interactive charts and KPIs, as well as detailed breakdowns by school, department, gender, ethnicity, certification status, and years of experience. The screen also includes detailed subgroup and staffing distribution views, allowing users to quickly identify workforce patterns, representation, and staffing trends to support personnel planning and district decision-making.

This feature requires the purchase of the add-on Analytics module.

Expand or collapse content Running the Grades Analytics Report

The Teacher Analytics report provides a comprehensive view of teacher demographic and staffing data across the selected school(s) and applied filters. This report allows users to analyze staffing distributions, workforce trends, and personnel data by breaking information down into categories such as school, department, certification status, years of experience, and teacher demographics. Through interactive charts and filters, users can quickly identify staffing patterns, monitor subgroup representation, and gain insights to support district planning and personnel decision-making.

1. In the Reports menu, click Grade Analytics.

2. The screen defaults to the Analytics tab.

3. Select the marking period, such as Q1 or S1, to filter the report and display data for the selected timeframe.

4. Select the Course History marking period to filter the report and display data for the selected timeframe.

a. Select the desired option from the Compare Years pull-down to compare current grades analytics data against prior school years and analyze historical grading trends over time. Available options include None, 1 Year, 2 Years, 3 Years, 4 Years, and 5 Years.

5. Select the metric from the pull-down to determine how grade data is calculated and displayed throughout the report. Available options include:

  • Average Percent Grade: Displays the average numeric grade percentage for the selected data set.
  • Average GPA Points: Displays the average GPA points earned by students based on the selected filters.
  • Average Weighted GPA Points: Displays the average GPA points with weighting applied for advanced or weighted courses.
  • % Passing: Shows the percentage of grades that meet the defined passing threshold.
  • % Failing: Shows the percentage of grades that fall below the passing threshold.
  • Number of Students: Displays the total number of unique students included in the selected data set.

6. Select from the following options to determine which reports are displayed. Each selection generates a report (such as Grad Subject, Course, or Teacher) that displays grade data based on the selected metric:

  • Grad Subject: Generates a report displaying grade data grouped by subject area.
  • Course: Generates a report displaying grade data grouped by course.
  • Teacher: Generates a report displaying grade data grouped by teacher.
  • Letter Grade: Generates a report displaying grade data grouped by letter grade (AF).
  • Grade Level: Generates a report displaying grade data grouped by student grade level.
  • Gender: Generates a report displaying grade data grouped by student gender.
  • Lunch Status: Generates a report displaying grade data grouped by lunch eligibility.
  • Gifted: Generates a report displaying grade data grouped by gifted status.
  • 504: Generates a report displaying grade data grouped by Section 504 status.
  • IEP: Generates a report displaying grade data grouped by IEP status.
  • ELL: Generates a report displaying grade data grouped by English Language Learner status.
  • Primary Exceptionality: Generates a report displaying grade data grouped by primary exceptionality.
  • Ethnicity: Generates a report displaying grade data grouped by student ethnicity.

7. Click the settings icon to add numbers, percentages, and to sort data visuals alphabetically.

a. Select the Display Numbers check box to display numeric values directly on supported charts and graph visuals.

b. Select the Display Percentages check box to display percentage values on supported charts and graph visuals.

c. Select the Sort Alphabetically check box to sort chart labels and visual data categories alphabetically. When cleared, visuals return to their original data order.

The report displays Total Grades, Unique Students, Avg Percent, Avg GPA, Avg Weighted GPA, % Passing, and % Failing.

Based on the selections made, you wil see different reports:

Grad Subject, Course, Teacher:

Letter Grade:

Hover over any bar in the report to view the value for the selected metric (e.g., 42 for Letter Grade B). The number displayed depends on the metric selected from the pull-down, such as average percent grade.

Grade Level, Ethnicity, Primary Exceptionality:

Hover over any bar in the report to view the value for the selected metric (e.g., 80.75 for students who identify as Black). The number displayed depends on the metric selected from the pull-down, such as average percent grade.

Gender, Gifted, 504, IEP, and ELL:

Hover over any bar in the report to view the value for the selected metric (e.g., Y, 55). The number displayed depends on the metric selected from the pull-down, such as average percent grade.

If you elected to compare school years for Course History, all reports are broken down by school years.

Grades Analytics

Click the school year in the legend to remove that school year data from the report. Click the year again to add the breakdown for that year back to the report. Note: Making these changes to the report, only impacts the singular report.

The last report is broken down by student and includes the following columns (including any filters selected to generate all reports): School Year, Student name, Student Id, Course, Marking Period, Grade letter, Percent, GPA, Weighted GPA, Teacher, Grad Subject, Pass/Fail, Gender, Lunch Status, Gifted, 504, etc.

8. Click Student in the View column to open Student Info.

The Teacher Distribution report provides a detailed breakdown of teacher and staffing distributions across different organizational groupings, such as school, department, certification status, years of experience, and demographic categories. Unlike the Analytics view, which focuses on overall staffing metrics and trends, this report emphasizes the distribution and frequency of teacher data, allowing users to quickly identify staffing patterns, representation, and workforce variability across the district.

1. In the Reports menu, click Grade Analytics.

2. Select the Grade Distributions tab.

3. Select the marking period, such as Q1 or S1, to filter the report and display data for the selected timeframe.

4. Click Compare Quarters to compare grades analytics data across multiple academic quarters, allowing users to view and analyze performance trends between current and prior quarter periods.

5. Click Course History to view grade distribution data based on historical course performance, allowing users to compare grading patterns across multiple school years.

6. Select the All Schools check box to run the reports for all schools in the district, to which you have access. Selecting All Schools may display additional marking periods, such as SS1, SSS, and SSC, which are used to represent consolidated or school-specific grading periods across multiple schools.

The following reports display:

  • By Grad Subject: Generates a report displaying grade data grouped by subject area, such as American History, Biology, etc.
  • By Course: Generates a report displaying grade data grouped by course to show performance trends within specific courses.
  • By Section: Generates a report displaying grade data grouped by course section to analyze performance at the section level.
  • By Teacher: Generates a report displaying grade data grouped by teacher to evaluate grade distribution across instructors.
  • By Term: Generates a report displaying grade data grouped by marking period. The available terms are based on the selected time period (e.g., Q1, S1, etc.).

The following reports display with All Schools selected:

School Breakdown:

  • By School Level: Generates a report displaying grade data grouped by school level (e.g., elementary, middle, high).
  • By School Type: Generates a report displaying grade data grouped by school type (e.g., traditional, charter, magnet).
  • By Region: Generates a report displaying grade data grouped by district-defined regions.
  • By School: Generates a report displaying grade data grouped by individual school.

Below are examples of each of the reports described:

By Grad Subject, By Course, By Section:

Hover over bar graphs to display the grade letter, percentage, and number of students included in the data point. For example, one student earned a B in Semester 1 for US History Online; therefore, this grade represents 50% of students enrolled in that course.

By Teacher and By Term:

Hover over bar graphs to display the grade letter, percentage, and number of students included in the data point. For example, four students earned a B in Semester 1 with teacher Peter Beltran; therefore, this grade represents 44.4% of students enrolled with this teacher.

These reports display if All Schools is enabled:

School Breakdown: By School Level, By School Type, By Region, and By School:

Hover over bar graphs to display the grade letter, percentage, and number of students included in the data point. For example, one student earned an A in Semester 1 at Octopus Charter High School; therefore, this grade represents 50% of students enrolled at this school.

The last report is broken down by staff member/teacher and includes the following columns: Staff Name, Staff Id, Course Title, Course Period, Marking Period, Grade, Count, Subject, School, School Level, and School Type.

The Standard Grades report provides teachers with a detailed view of student performance on academic standards across their classes and courses. This report emphasizes mastery and distribution of standards, allowing teachers to identify patterns in student achievement, monitor consistency of standard completion, and analyze instructional effectiveness across sections, terms, and standards-based assignments.

1. In the Reports menu, click Grade Analytics.

2. Select the Standard Grades tab.

3. Select the marking period, such as Q1 or S1, to filter the report and display data for the selected timeframe.

4. Click Course History to view standard grades data based on historical course performance, allowing users to compare grading patterns across multiple school years.

a. Select the desired option from the Compare Years pull-down to compare current grade distribution data against prior school years and analyze trends over time. Available options include None, 1 Year, 2 Years, 3 Years, 4 Years, and 5 Years.

  • Standard: Displays grade data grouped by academic standards, showing student performance and outcomes at the standard level.
  • Course: Displays grade data grouped by course, allowing users to analyze performance across different subject areas and classes.
  • Teacher: Displays grade data grouped by teacher, showing grading trends and student performance by instructor.
  • Letter Grade: Displays grade data grouped by letter grade ranges, allowing users to view the distribution of grades across the selected data set.

Student Demographic Breakdown:

  • Grade Level: Generates a report displaying standard grades data grouped by student grade level.
  • Ethnicity: Generates a report displaying standard grades data grouped by student ethnicity.
  • Primary Exceptionality: Generates a report displaying standard grades data grouped by primary exceptionality.
  • Gender: Generates a report displaying standard grades data grouped by student gender.
  • Gifted: Generates a report displaying standard grades data grouped by gifted status.
  • 504: Generates a report displaying standard grades data grouped by Section 504 status.
  • IEP: Generates a report displaying standard grades data grouped by IEP status.

Below are examples of each of the reports described:

Standard, Course, Teacher:

Hover over any bar graph to display the grade value, percentage, and number of students included in the selected data point. For example, a tooltip may indicate that 24 students earned the selected grade for a specific teacher.

Letter Grade:

Hover over bar graphs to display the grade letter, percentage, and number of students included in the data point. For example, 225 students earned an E in Quarter 3.

Grade Level, Ethnicity, and Primary Exceptionality:

Hover over any bar graph to display the number of students included in the selected demographic category. For example, a tooltip may indicate that 111 students are included in Grade 1 for the selected standard grades data set.

Gender, Lunch Status, Gifted, 504, and IEP:

Hover over any bar graph to display the number of students included in the selected demographic category. For example, a tooltip may indicate that 410 students are included in the F - Female category for the selected standard grades data set.

The last report is broken down by student and includes the following columns: School Year, Student, Student Id, Standard, Course, Marking Period, Grade, GPA, Weighted GPA, Teacher, Pass/Fail, Gender, Lunch Status, Gifted, 504, IEP, ELL, Primary Exceptionality, and Ethnicity.

7. Click Student to open Student Info.

Expand or collapse content Adding Filters to Regenerate the Analytics Reports

The Grades Analytics reports are interactive. Clicking on any data point or metric (such as a bar in a chart) updates all reports, KPIs, and tables to reflect the selected criteria, allowing you to quickly refine and explore attendance data.

1. In the Reports menu, click Grade Analytics.

2. Follow the steps provided in Running the Grades Analytics Report, Running the Grade Distributions Report, or Running the Standard Grades Report then follow the steps below to customize each of the reports.

3. When viewing any of the demographic reports listed above, click a bar in the chart to filter the data. All reports displayed, such as the Grad Subject report, regenerates to reflect the selected criteria. In this example, the reports are currently filtered to display data for ENG 4 students.

4. To update the reports, click a demographic value in any chart, such as Black in the Ethnicity report. This applies a filter and refreshes all reports to display data only for the selected group. Any previously applied filters (such as Grade Level 12) will remain in place until cleared.

5. To remove a filter from the grades reports, click the applied filter again, such as 12 in Grade Level. The selection is cleared, the bar returns to light blue, and all reports update to display all grade levels (if applicable).

You can add as many filters as you'd like and clear them as you go to customize grades reports.

6. Click Clear Filters to remove all filters at once.

1. In the Grades menu, click Grade Analytics.

2. Select the applicable tab to generate the report.

3. Apply all report filters and generate the applicable report.

4. Click the Printer icon.
